I. Send Message
The Send Message option in the right menu panel of a meeting page is not visible until the meeting has been published (calendar or fully).
Send Message is very useful to re-send meeting information, send a quick note to everyone on a meeting coming up, or maybe just to Collaborators, or only to those presenting. There are a lot of reasons why sending a message can be utilized to convey information, provide a reminder, or simply work on last minute coordinating.
To send a message:
Navigate to the meeting page
Click Send Message in the right menu panel
The Send a Message pop-up window is displayed
The Email Subject defaults to the name of the meeting, but can be changed or added to as appropriate
The option to Include meeting info can be unchecked if desired
Click on the box next to Attach agenda as PDF if applicable (this option will only appear if an agenda has been created)
Use the Message box to write the message
The options under Notifications will be sent to may change depending on meeting circumstances
If individuals are not listed, it may be that the Individuals section needs to be expanded - click on the caret symbol to toggle - adjust checked individuals as desired
Click Send
II. Send Update Notifications
The Send Update Notifications option in the right menu panel (also in the People section) of a meeting page is not visible until the meeting has been published (calendar or fully).
The Send Update Notifications window will pop-up on its own in certain situations. However, it can also be selected at anytime in order to re-send invitations with the most updated information. Unlike Send Message, there is no area to type a message, this is simply to send meeting notifications.
To send an update or meeting notification:
Navigate to the meeting page
Click Send Update Notifications in the right menu panel
The Send Update Notifications pop-up window is displayed
Both options at the top are selected by default
The Send in-app notification is within Boardable - the next time the user logs in, there will be a red dot next to the bell at the top of their Boardable page to let them know they have notifications
The Send email calendar invite/event update - sends an email to the email address in the user's profile; the invitation is attached and provides a way for user to RSVP as well as have the meeting in their personal calendar
The options under Notifications will be sent to may change depending on meeting circumstances
If individuals are not listed, it may be that the Individuals section needs to be expanded - click on the caret symbol to toggle - adjust checked individuals as desired
Click Send
III. Request RSVP
There are two ways to request an RSVP, via Send Message or Send Update Notifications. Send a message if it makes sense to write a note along with the request, otherwise send an update notification.
Regardless of which method is selected, click the box next to Yet to RSVP before sending.
