I. Types of Uploads and Access Behavior

The type of documents to upload can be viewed by clicking the New button in the Document Center. There is an option to upload files, as well as options to link files.

The behavior of the file depends on the option selected:

  • Upload File

    • Upload file(s) from a user's computer; this creates a copy in Boardable

    • The option to Open PDF is available through the ellipsis menu

      • This will open the document in a new window, viewed as a PDF

    • The type of files that can be uploaded and viewed successfully include:

      • Apple Files

        • Keynote (.key), Numbers (.numbers), Pages (.pages)

      • Comma separated files (.csv)

      • Image files (jpeg, png)

      • Microsoft Files

        • Excel (xls, xlsx), Powerpoint (ppt, pptx), Word (docx)

      • PDF files (.pdf)

    • Clicking the document name will generally open options to Open, Download, or Download as PDF

  • Link Files

    • Uploads a link to a file from one of the optional apps

    • The option to Open PDF is not available through the ellipsis menu

    • The document will be available to view in the app it is associated with (Google Drive, Dropbox, or OneDrive)

II. Upload Documents

There are four ways a document can be uploaded to the Document Center:

  • User's computer

  • Dropbox

  • Google Drive

  • OneDrive

Notes:

  • Maximum upload file size is 250 MB per file

  • The uploaded file will appear in the folder currently being viewed.

The first step in uploading documents to the Document Center:

  1. Click Documents from Boaradable's main menu panel

  2. Once the Document Center is open, click New

    1. Or navigate to an appropriate folder and then click New

i. From User's Computer

  1. Click New, then click Upload File

  2. Click Select File from the pop-up window

    1. The file directory pop-up window will appear (Finder, File Explorer, Launcher, etc. depending on operating system)

      1. Navigate to the appropriate directory

      2. Double click the desired file to add it to the form

      3. Only one file can be selected at a time

  3. Fill in the rest of the form (note the file name and extension are now displayed)

    1. Document Title: this could be the name of the actual file or another title of your choosing

    2. Notes: enter helpful notes or a description regarding the file and what it may be used for

    3. Notifications will be sent to: choose who should receive notification regarding the file (this does not designate who has access, please refer to Related Articles for information regarding folders and privacy)

  4. Click Submit

Note: Files can also be uploaded via drag and drop. In this case, the Document Title would automatically be the document name.

To drag and drop:

  1. Select a file or files from your computer's document navigation (i.e. Finder, Explorer, etc.)

  2. Click and drag them to the Document Center, holding down the mouse until Drop files here is visible

  3. Release the mouse

ii. From Dropbox

  1. Click New, then click Dropbox

  2. The Dropbox pop-up window will appear

    1. After signing in (if necessary), navigate to the appropriate folder and files

  3. Click in the box next to the desired file name or files to add a checkmark

    1. To select all files within a folder, click the folder to view the contents, then click in the box at the top next to the folder name

    2. When viewing a folder, click the minus sign at the top next to the folder name to deselect any files already selected (or click to uncheck the checkmark if all were chosen)

  4. Once a file is checked, the Choose button will be available

  5. Click Choose to add the file(s) to the current open folder in the Document Center

iii. From Google Drive

  1. Click New, then click Google Drive

  2. The Google Drive pop-up window will appear

  3. After signing in (if necessary), click Yes to allow Boardable access to the files (if asked - this allows files to be selected)

    1. If concerned, these permissions can be revoked after files have been added by doing the following:

      • Sign in to Google Drive from a browser

      • Go to Settings (gear icon in the upper right corner)

      • Click Manage Apps

      • Click Options next to Boardable

      • Click Disconnect from Drive

      • A pop-up window will appear to confirm, click Disconnect

      • Click Done

      • The files already added to Boardable will still be available in Boardable

  4. Navigate to the appropriate folder and file(s)

  5. Select the file or files to include

    1. To select multiple files that are sequential, click the first file, hold the shift button and then click the last file

    2. To select multiple files out of order, click a file, hold down the Ctrl (PC) or cmd (Mac) button and continue to hold until all desired files are selected

  6. Once file(s) are selected, the Select button will be available

  7. Click Select to add the file(s) to the current open folder in the Document Center

iv. From OneDrive

  1. Click New, then click OneDrive

  2. The OneDrive pop-up window will appear

  3. After signing in (if necessary), click Yes to allow Boardable access to the files (if asked - this allows files to be selected)

    1. If concerned, these permissions can be revoked after files have been added by doing the following:

      • Enter the following address in a browser: https://account.live.com/consent/manage

      • Click Edit under Boardable

      • Click Remove these permissions

      • The files already added to Boardable will still be available in Boardable

  4. Navigate to the appropriate folder and file(s)

  5. Hover over the file and click the circle that appears in order to add a checkmark next to the file

    1. Continue adding checkmarks until all files are selected

    2. To select all files within a folder, click the circle that appears when hovered over the folder name (only available in list view); click the checkmark to deselect

  6. Once file(s) are selected, the Open button will be available

  7. Click Open to add the file(s) to the current open folder in the Document Center
