I. Introduction to Tasks

Tasks can help keep track of assigned responsibilities and due dates, and increase every board member's productivity and accountability.

All members can be assigned tasks. Admins may create these tasks from a meeting page, a group page, or from the Tasks directory.

Admins can also group tasks in Task Lists.

II. View Tasks

Tasks can be viewed in the following locations:

To open a task, click the first 60 characters of its description from one of the views described below. The following information pops out:

  • Complete text of task description

  • Due date

  • Assigned members

  • Button to mark task complete

  • Comments, including attached files

  • Comment textbox

View Tasks From Tasks

All tasks in the organization can be viewed by admins from the Tasks page.

  1. Click Tasks from the main menu panel

    1. Tasks are listed by the following information:

      1. First 60 characters of task description

      2. Name(s) of assigned member(s)

      3. Task list, if any (shown in blue)

      4. Associated group, if any (shown in grey)

      5. Completion status

        1. Checkmark with no fill represents incomplete task

        2. Checkmark with green fill represents complete task

        3. For tasks with multiple assignees, the number of assignees who have marked the task complete is listed beneath the task description

    2. View defaults to All tasks; click My tasks to view only those tasks assigned to the viewer

    3. To view both complete and incomplete tasks, fill the checkbox next to Include Completed Tasks

    4. To filter by task list:

      1. Click the title of the desired task list on the second leftmost menu

    5. To filter by meeting:

      1. Click Meetings

      2. Click desired meeting title

        1. Tasks created from selected meeting are listed

    6. To filter by assignee

      1. Click People

      2. Click desired user name

        1. Tasks assigned to selected user are listed

    7. To search by title

      1. Click Search

      2. Type task title

      3. Click Search

        1. Tasks matching search term are listed

View Tasks From Meeting Page

To view tasks from a meeting page:

  1. Navigate to the desired meeting page (to learn how to find a meeting page, please refer to Related Articles)

  2. Click Tasks and polls

  3. Click the task description

    1. Tasks are listed by the following information:

      1. First 60 characters of task description

      2. Name(s) of assigned member(s)

      3. Completion status

        1. Checkmark with no fill represents incomplete task

        2. Checkmark with green fill represents complete task

From Group page

To view tasks from a group page:

  1. Click Groups from the main menu panel

  2. Click the title of the desired group, opening its group page

  3. Click Tasks and Polls

    1. Tasks are listed by the following information:

      1. First 60 characters of task description

      2. Completion status

        1. Checkmark with no fill represents incomplete task

        2. Checkmark with green fill represents complete task

      3. Number of assignees who have marked the task complete is listed beneath the task description

III. Create Tasks

Admins can create tasks from the following areas:

Create Tasks From Tasks

To create a Task from the Tasks directory:

  1. Click Tasks from the main menu panel

  2. Click + Add task

  3. Create Task menu opens, containing the fields described below; set these fields as wanted

    1. Description

      • The following text formatting options are supported:

        • Bold

        • Italics

        • Bullet list

        • Numbered list

        • Hyperlink

    2. Due date

    3. Assigned users

      1. For tasks made from meeting page, all invited users are assigned by default

        • To remove an invited user from the assignee list, click the X to the right of their name

  4. Click Save

    1. Task is now created and assignees notified

Create Tasks From Meeting Page

To create tasks from a Meeting Page:

  1. Navigate to the meeting page (to learn how to do this, please refer to Related Articles)

  2. Click Tasks and Polls

  3. Click + next to Tasks

  4. Create Task menu opens, containing the fields described below; set these fields as wanted

    1. Description

      • The following text formatting options are supported:

        • Bold

        • Italics

        • Bullet list

        • Numbered list

        • Hyperlink

    2. Due date

    3. Assigned users

      1. For tasks made from meeting page, all invited users are assigned by default

        • To remove an invited user from the assignee list, click the X to the right of their name

  5. Click Save

    1. Task is now created and assignees notified

Create Tasks From Group Page

To create a task from a group page:

  1. Click Groups from the main menu panel

  2. Click the title of a group, opening its group page

  3. Click Tasks and Polls

  4. Click + next to Tasks

  5. The Create Task menu opens, containing the following fields described below; set these fields as wanted

    1. Description

      • The following text formatting options are supported:

        • Bold

        • Italics

        • Bullet list

        • Numbered list

        • Hyperlink

    2. Due date

    3. Assigned users

      1. All group members are assigned by default

        • To remove an invited user from the assignee list, click the X to the right of their name

  6. Click Save

    1. Task is now created and assignees notified

IV. Comment on Tasks

To add a comment to a task:

  1. Open the desired task as described in View Tasks

  2. Click in to the textbox labeled Add comment

  3. Add desired comment text and attachments, if any

    1. The following text formatting options are supported:

      1. Bold

      2. Italics

      3. Bulleted list

      4. Numbered list

      5. Hyperlink

      6. Emojis (from the emoji button at the bottom right side of the comment text box)

    2. To add an attachment:

      1. Click the paperclip button at the bottom right side of the comment textbox

      2. Click attachment location

        1. Click Upload file to select a file from the device's directory

        2. Click Boardable to select a file from the Boardable document center

        3. Click One Drive, Google Drive, or Dropbox to select a file from one of these external services

      3. Select desired file from chosen directory

  4. Choose notification settings

    1. Enable Notify everyone to send notifications to all users assigned to the task

    2. Disable Notify everyone to prevent notifications to any user for this comment

  5. Click Send

V. Delete Tasks

To delete tasks:

  1. Open the desired task as described in View Tasks

  2. Click More actions

  3. Click Delete

  4. Click Ok

VI. Edit Tasks

To edit tasks:

  1. Open the desired task as described in View Tasks

  2. Click More actions

  3. Click Edit

  4. Edit Task menu opens, allowing changes to the fields listed below; set these as wanted

    1. Description

    2. Due date

    3. Assigned users

  5. Click Save

    1. Task is updated

    2. New assignees, if any, are notified

    3. Existing assignees are not notified

VI. Mark Tasks Complete

To mark a task complete:

  1. Open the desired task as described in View Tasks

  2. Click Mark Complete

VII. Task Lists

Note: Task Lists are only supported from Tasks directory; task lists cannot be made or viewed from group pages or meeting pages.

Tasks lists can help keep tasks organized.

To create a task list:

  1. Click Tasks from the main menu panel

  2. Click New task list

  3. Type desired task list title

  4. Click Save

To add tasks to an existing task list:

  1. Click Tasks from the main menu panel

  2. Click the title of the desired task list from the second leftmost menu panel

  3. Complete New task menu as described in Create Task from Tasks
