Before You Begin

Group membership controls what content users can view and which calendar events they receive.

New group members automatically gain access to:

  • All group documents

  • All group goals

  • All scheduled and future meetings

  • Discussions, tasks, and polls created after they join

They do not automatically gain access to:

  • Past discussions

  • Past tasks

  • Past polls

  • Past Meetings

New members receive calendar events only for meetings created after they join. To add past meetings to their calendars, resend meeting invitations.

When a user is removed from a group:

  • They are removed from all upcoming group meetings and receive calendar updates, removing those events.

  • They retain access to discussions, tasks, and polls assigned before removal.

Only organization admins, group admins, and group owners can update group membership.


Add Users to Groups

  1. Select Groups from the main navigation.

  2. Open the group you want to update.

  3. Select Members.

  4. Click Update Members.

  5. In the search field, type the person’s name and select it from the dropdown.

  6. Click Save.


Remove Users From Groups

  1. Select Groups from the main navigation.

  2. Open the group you want to update.

  3. Select Members.

  4. Click Update Members.

  5. Click the X next to the user you want to remove.

  6. Click Save.


Troubleshooting

User does not appear in the search field
The user is either already a group member or not yet part of the organization.
Confirm membership in the People directory. Add them to the organization before adding them to the group.

Group member cannot access expected content
The content may have been created before the user joined the group.
Manually add the user to the specific discussion, task, poll, or meeting.

Duplicate group member names
If a user appears multiple times in the members list, contact Support. Do not remove the user from the organization.
