Create and organize agenda items for a meeting

Before You Begin
The agenda builder provides a modern experience for creating and managing meeting agendas. You can start with a reusable agenda template or build an agenda item by item. Each agenda item can include a description, duration, presenter, attachments, and an approval workflow when review is required.
Agenda items are managed independently, making it easier to reuse content, collaborate with contributors, and prepare meeting materials before publication.
Prerequisites
- You must have permission to create or manage meetings.
- A meeting must already exist in Board Management.
- Any supporting documents should be available before adding agenda items.
Build a Meeting Agenda
- Open Board Management.
- Create a new meeting or open an existing meeting.
- Select Materials > Start Building Agenda.

Add Agenda Items
You can build an agenda in one of two ways:
- Apply an agenda template to create a complete agenda structure.
- Add individual agenda items to build the agenda manually.
Create an Agenda From a Template
- Select Apply Template.
- Choose an agenda template.
- Review the generated agenda items.
- Make any necessary changes.
Add Individual Agenda Items
- Select Add Item.
- Choose one of the following options:
- From Scratch
- From Organization Template
- From My Template
- Enter the agenda item details.
- Save the item.
Repeat these steps until all agenda items have been added to the meeting.
Configure Agenda Item Details
When creating or editing an agenda item, complete the available fields.

| Title | The name of the agenda item. |
| Description | Additional details or context for the agenda item. |
| Duration | The amount of time allocated to the item. |
| Presenter | The person presenting the item during the meeting. |
| Approval Tree | The approval workflow assigned to the item, if applicable. |
| Attachments | Supporting files such as PDFs, reports, and presentations. |
- Complete the required fields.
- Attach any supporting documents.
- Assign an approval tree, if required.
- Save your changes.
Use Agenda Templates
Agenda templates provide a reusable structure for recurring meetings. Applying a template creates a complete agenda with predefined agenda items.
Agenda item templates are reusable agenda components that can be added individually to any agenda without applying an entire agenda template.
Use agenda templates when creating recurring meeting structures. Use agenda item templates when you need to add a specific agenda section to an existing agenda.
Result
Your meeting agenda contains the agenda items, presenters, supporting documents, and approval workflows needed to prepare for the meeting.
Troubleshooting
What is the difference between an agenda template and an agenda item template?
An agenda template creates an entire agenda structure. An agenda item template creates a single reusable agenda item that can be added to any agenda.
Can I attach documents to agenda items?
Yes. You can attach supporting documents directly to an agenda item.
Can I create an agenda without templates?
Yes. You can create agenda items individually without using templates.
Do I need to assign an approval tree to every agenda item?
No. Approval trees are optional and should only be assigned when an agenda item requires a formal review process.
