Before You Begin

Board packets help streamline meeting preparation by combining the meeting agenda and all related documents into one printable PDF. This makes it easier for attendees to find, review, and print materials before or during a meeting.

Boardable generates board packets directly from agenda items. Each document you attach to an agenda item is included in the final packet, in agenda order, ensuring a clear and consistent flow for readers.


Prerequisites

Before you create a board packet, make sure the following requirements are met:

  • You have access to board packets in your subscription.

    • If you are on Core package, contact your Account Manager to add board packets to your account.

  • You have created a meeting with an agenda.


Create Board Packets

  1. Go to the Meetings page and select the meeting.

  2. Select the Materials tab.

  3. In the Agenda pane, select Edit.

  4. Select an agenda item.

  5. Select Attach a document.

  6. Upload a file from your device or attach a document from Boardable, OneDrive.

    • Board packets support the following file types:

      • Apple: .key, .numbers, .pages

      • Apache OpenOffice: .odt, .ods, .odp

      • Microsoft: .doc, .docx, .xls, .xlsx, .ppt, .pptx

      • Images: .jpg, .jpeg, .png

      • PDF files

  7. Select Save.

  8. Repeat steps four through seven for each document you want to include.

    • Attach each document to the correct agenda item to ensure the packet collates correctly.

  9. Close the agenda editor.

  10. Select Generate Board Packet.

Note: Board packets do not support files attached directly from Dropbox or Google Drive. Download those files to your device first, then attach them to the agenda.


Result

Boardable generates a PDF board packet that includes the meeting agenda and all attached documents.

You can select Open to view and save the packet, or select Print to create a hard copy.


What to Do Next

Finish setting up your meeting. When you are ready, return to the Materials tab and select Publish → Publish.

Invitees cannot view the board packet until meeting materials are published. By default, invitees receive an email notification, but you can disable this by clearing the Send email notification to invitees checkbox.


Invitee Experience

Invitees can access the board packet by completing the following steps:

  1. Select the meeting from the Meetings page.

  2. In the Materials pane, select View.

  3. Select Open to view the board packet PDF, or Quick Print to print it.

Invitees can also download individual agenda files by selecting the appropriate Download button.


Troubleshooting

Can I attach documents directly from Google Drive when creating a board packet?
No. Export the file from Google Drive and save it to your device. For example, open the document and select File → Download → PDF Document (.pdf), then attach the file to the agenda.

Can I edit a board packet after generating it?
Yes. Edit the meeting agenda, add or remove documents, and save your changes. On the Materials tab, select Regenerate to update the board packet.
