Before You Begin

Follow up meetings help teams maintain continuity between meetings by linking a new meeting to a previous one. When you create a follow up meeting, Boardable carries over key context from the original meeting, making it easier to track progress, tasks, and decisions without starting from scratch.

You can create a follow up meeting as a single meeting or part of a series. Depending on your settings, you may also copy the agenda from the original meeting and build on it for the next discussion.


Prerequisites

To create a follow up meeting, you must meet one of the following conditions:

  • Be an organization admin

  • Be the creator of the original meeting

  • Be a collaborator on the original meeting


Follow Up Meeting Overview

A follow up meeting automatically links to an earlier meeting and displays details from that source meeting, including:

  • A link to the original meeting page

  • Meeting title

  • Date and time

  • Minutes PDF, if minutes were published

  • Tasks created from the original meeting

  • Number of tasks created and attached

If no tasks were created in the original meeting, task information appears only when minutes are published.


Create a Follow Up Meeting

Follow these steps to create a follow up meeting from an existing meeting.

  1. Navigate to the original meeting page.

  2. Select the 3 vertical dots in the upper right hand corner.

  3. Select Create follow up meeting.

  4. In the follow up meeting menu, complete the required fields: 

    • Meeting details

      • Title

      • Description

      • Meeting owner

      • Easy Access Dashboard

        • This can only be enabled during meeting creation.

    • Date and time

      • Meeting type (defaults to single-date)

      • Timezone (defaults to your user settings)

      • Date, start time, and end time

    • Location and video

      • Location

      • Video option (defaults to Boardable video)

      • Optional third-party or custom video link

    • Invitees

      • Add admins, members, or observers

      • Add groups using Quick Add or search

  5. Select Finish.

  6. Select Create meeting.

Guests can only be added after the follow up meeting has been created.


Start Agenda From Previous Meeting

You can only start an agenda from a previous meeting if Copy agenda was enabled during meeting creation.

  1. Navigate to the follow up meeting page.

  2. Select Agenda.

  3. Select Start with last meeting’s agenda.

  4. Review and edit agenda items as needed.

The agenda from the source meeting is copied into the follow up meeting and can be modified.


Troubleshooting

Copy agenda option is missing

  • The agenda can only be copied if the option was enabled during meeting creation.

Unable to add guests during creation

  • Guests must be added after the follow up meeting is saved.

Easy Access Dashboard not available

  • This feature can only be enabled when creating the meeting and cannot be added later.
