About Account Roles

Roles, also known as user types, are the most important designation within Boardable. Roles determine the resources users can access and the actions they can perform in the platform. Users are assigned to one of three roles during the account creation process: admin, member, or observer.

Admin Permissions

Admins enjoy the highest level of permissions in an organization. With few exceptions, they can take any action they wish within the Boardable platform.

Only admins can add and manage an organization's users. Admins cannot change another user's name once that user has logged in for the first time, however, nor can they change another user's email address or password.

Discussions
  • Start, edit, and delete discussions
Document Center
  • View, edit, delete, or move all files in the Document Center
  • Create folders and assign group-level access permissions
Goals
  • Create and assign goals to users and groups
Groups
  • Create groups and assign group roles (member, admin, or owner)
Meetings
  • Create meetings and manage their aspects (agendas, board packets, minutes)
  • Edit or delete meetings created by other users
  • View the meeting calendar
  • Start and stop meeting recordings
Notifications
  • View system-wide notifications 
Organization Settings
  • Change customization settings such as an organization's name, logo, and email sender name
  • Create agenda templates
  • Enable livestreaming, AI assistance, and two-factor authentication
  • Create questions to collect custom data about organization members 
People
  • Add or remove users, and manage account invitations

  • Assign account roles 

  • Edit user profile information

  • Monitor user activity 

  • Export the people (user) directory

Polls
  • Create, edit, and delete polls
Reports
  • Run reports and download data 

Subscription
  • Change subscription plan
  • View invoices and update billing information
Tasks
  • Create, edit, and assign tasks

User Settings
  • Update profile information such as name, profile image, and password

  


Member Permissions

Member permissions are determined by the groups to which members are assigned. 

Members can upload documents; create meetings, polls, and discussions; and view activity of the groups to which they belong.

Discussions
  • Start and delete discussions 
Document Center
  • Upload and view documents in folders to which they've been invited 
Goals
  • Create goals, if assigned to a group owner or admin subrole
Groups
  • View all groups
Meetings
  • Add meetings, invite attendees, and create agendas

  • Set meeting dates, update RSVPs, track attendance

  • Take minutes

  • View the meeting calendar 
Notifications
  • Read personal notifications
People
  • View all users in the people directory
Polls
  • Create polls 
Tasks
  • Complete assigned tasks
User Settings
  • Update profile information such as name, profile image, and password

Observer Permissions

Observers have permissions on an invitation-only basis; they serve at the pleasure of users in admin or member roles.

Observers have view-only permissions unless they are assigned to a group owner or meeting collaborator subrole.

  • Participate in discussions
Document Center
  • Access, upload, or download documents from groups to which they've been invited

Goals
  • Create goals if assigned to a group owner or admin subrole
Groups
  • Participate in discussions and polls, and upload documents, if invited to a group
  • See groups to which they belong
 
Meetings
  • RSVP to invitations and see meetings to which they've been invited
  • Can be assigned to a Collaborator roleLearn more

  • View meeting-specific documents and recordings 
    • Note: To prevent observers from seeing documents, invite them as a guest rather than assigning them to a role. Learn more  

Notifications
  • Read personal notifications
People
  • See all users in the people directory
Polls
  • Participate in polls to which they have been invited

  • Edit, comment on, and complete assigned tasks
