Before You Begin
Meeting materials include:
- Agenda
- Agenda attachments
- Meeting documents
- Board packet for Professional and Enterprise organizations
Organization admins, meeting owners, and meeting collaborators can access meeting materials before publication. Publishing makes the materials available to invited members and observers who are not meeting collaborators.
Important: Meeting materials cannot be unpublished. All materials are published together; you cannot publish individual materials separately.
Publish Meeting Materials
Organization admins, meeting owners, and meeting collaborators can publish meeting materials.
- Open the meeting.
- Select Materials.
- Select Publish.
- Choose whether to notify invitees.
- Notifications are enabled by default.
- Clear the checkbox if you do not want to send a notification.
- Select Publish.
The meeting materials are now available to invited members and observers.
Update Published Agenda Materials
After publishing an agenda, authorized users can make changes without immediately updating the version visible to attendees or on the public site. Changes remain in a draft state until an authorized user republishes the agenda.
- Open the published agenda.
- Make the necessary changes.
- Changes save automatically.
- The changes remain in draft form.
- Attendees continue to see the previously published agenda.
- Review the updated agenda and confirm that it is ready to share.
- Select Republish to make the changes available to attendees and on the public site.
Important: This feature provides administrative control over when agenda updates become visible. It does not maintain a detailed version history or allow you to restore a previous version.
