Live Display

Overview

Live Display helps meeting facilitators present meeting content to attendees in real time. It displays the current agenda item, meeting progress, motions, votes, and discussion timers on a shared screen, making it easier for board members and the public to follow along during a meeting.

Live Display can be projected in a boardroom or shared virtually during a meeting.


Before You Begin

  • You must have permission to manage the meeting.
  • Meeting materials must be published before the Live Display button becomes available. If the meeting has not been published, the Live Display button will remain disabled.
  • Live Display is available from within a meeting.
  • Any updates made in Live Display are reflected in real time for everyone viewing the display.

Start a Live Display

  1. Open the meeting you want to facilitate.
  2. Click Live Display from the meeting toolbar.
  3. The Live Display window opens in a new tab.
  4. Share or cast the display to your meeting room screen, projector, or virtual meeting.

The display will automatically load the meeting agenda and begin at the first agenda item.

Note: Live Display is intended for presentation purposes. Participants viewing the display cannot interact with the agenda.


Navigate Through the Meeting

As the facilitator, you control what attendees see.

Use the navigation controls to:

  • Move to the next agenda item.
  • Return to a previous agenda item.
  • Jump directly to another agenda item.
  • Keep the displayed agenda synchronized with the progress of your meeting.

The currently selected agenda item is highlighted on the display so everyone can easily follow along.


Use Live Display Controls

Live Display includes controls that allow you to manage the presentation throughout the meeting.

You can:

  • Pause the display without closing it.
  • Resume the presentation when you're ready.
  • Navigate freely between agenda items.
  • Keep the display aligned with your meeting discussion.

These controls are only available to the meeting facilitator.


Manage Motions and Discussion

Live Display makes it easy to keep attendees informed of the meeting's progress by displaying motions and discussion information in real time.

From Live Display, you can:

  • Add a new motion during the meeting.
  • Record motion details, including who made and seconded the motion.
  • Record the outcome of the vote.
  • Use the discussion timer to manage public comment or timed discussion periods.

If you record and publish a motion, the motion details will automatically appear on the Live Display for everyone following along. This allows board members and the public to stay informed about motions as they are introduced and acted upon during the meeting.

The discussion timer can also be used to help keep meetings on schedule while providing attendees with a clear view of the remaining discussion time.

Note: Motion information is only displayed after it has been recorded and published. Unpublished motions are not visible on Live Display.

I think this wording makes it much clearer that recording and publishing are two separate actions and explains why a motion may not immediately appear on the display. It also reinforces the transparency aspect of the feature, which is one of its primary benefits.


 


End a Live Display

When the meeting has concluded:

  1. Close the Live Display window or tab.
  2. Continue managing your meeting from Boardable as needed.

Closing Live Display does not end the meeting or modify any meeting content.
