Before You Begin

The AI Insights feature allows you to generate AI-powered meeting minutes for meetings held outside of Boardable Video. You can upload your own transcript, your own recording, or both, to create AI insights and draft minutes.

This feature supports external meetings, enabling consistent minutes across platforms such as Zoom, Google Meet, Microsoft Teams, or other video tools.

Transcripts remain part of Boardable Video functionality. AI features are managed separately and may appear only when enabled for your organization.

Admins and meeting collaborators can upload transcripts and recordings.

 


Supported File Types

Boardable accepts the following formats for upload:

Transcripts

  • VTT format only
  • Boardable does not convert or transcribe external recordings into text. A transcript must already exist.

Recordings

  • Upload a video file (MP4, MOV, WEBM)
  • Paste a publicly accessible video URL

What Boardable Does and Does Not Transcribe

Boardable does not generate transcripts from external video recordings.

Instead:

  • Users upload their own transcript (VTT).
  • Once uploaded, Boardable automatically processes the transcript and generates AI insights and draft minutes.

This mirrors existing Boardable Video transcript behavior but applies to external meetings.

Upload Transcripts and Recordings

    1. Create or open a meeting and choose Other as the video conferencing option.
    2. Navigate to the Summary & Recording section.
    3. Upload a VTT transcript.
    4. Upload a recording by file or by URL.
    5. Stay on the page while the recording upload completes.
    6. After upload, Boardable automatically:
      • Processes the transcript
      • Generates AI insights



Transcript and Recording Management

After uploading, you can:

  • Rename the uploaded recording
  • Limit access to the recording (access controls match Boardable Video recording visibility)
  • Download the uploaded transcript
  • Copy the transcript to the Document Center
  • Delete the transcript or recording

Note: These options apply only to items you’ve uploaded. Boardable does not modify your external recording or transcript file.


Transcript Visibility

All admins and meeting participants can access uploaded transcripts.

At this time, transcript visibility cannot be restricted to a subset of attendees. This matches the existing behavior for Boardable Video transcripts.
A visibility toggle may be added in a future release.


Result

Once processing is complete, AI-generated insights and draft meeting minutes appear on the meeting page. You can edit and publish them the same way you would with Boardable Video minutes.

Uploaded recordings and transcripts remain accessible on the meeting page for later review.


Troubleshooting

  • Transcript fails to upload
    • Confirm the file is in VTT format. Other transcript formats are not supported.
  • Recording will not upload or process
    • Ensure the file type is supported.
    • Make sure your browser remains open during upload.
  • Video URL does not work
    • The URL must be publicly accessible or shared with the correct access permissions.
  • AI insights do not appear
    • Insights are generated only when a VTT transcript is uploaded.
    • Verify the transcript contains valid text.
  • Transcript cannot be hidden
    • Visibility controls for transcripts are not yet available. All meeting participants can view the transcript.
