Before You Begin
Agenda Approval Workflows allow designated reviewers to approve agenda items before a meeting is published. Agenda items move through a defined approval sequence, and meetings cannot be published until all required approvals are complete.
Prerequisites
- You must have permission to manage agenda approval workflows.
- An agenda item must already exist.
- Users participating in the approval process must have access to the agenda item.
Create an Approval Tree
Approval trees define the sequence of reviewers for agenda items.
- Open the agenda builder.
- In the left navigation, select Approval Trees.
- Select New Approval Tree.
- Enter a title for the approval tree.
- Add approvers.
- Reorder approvers, if needed.
- Save the approval tree.
Note: Approvers receive agenda items in the order listed in the approval tree.
Manage an Approval Tree
To edit or delete an approval tree, open the tree and use the options in the upper-right corner. Save your changes, if applicable.
Assign an Approval Tree to an Agenda Item
- Open an agenda item.
- Locate the Approval Tree field.
- Select an approval tree.
- Complete any other required agenda item details.
- Choose one of the following options:
- Save as Draft to save the agenda item without starting the approval process.
- Save and Submit to start the approval process.
When you select Save and Submit, Boardable sends an email to the first approver in the approval tree.
Review an Agenda Item
- Open the approval email.
- Select View Agenda Item.
- Review the agenda item details, attachments, and notes.
- Choose one of the following actions:

| Approve | Approves the item and sends it to the next approver. |
| Edit and Continue | Allows you to edit the item, add notes, and send it to the next approver. |
| Reject | Rejects the agenda item and stops the approval process. |
- Submit your decision.
When an approver selects Approve or Edit and Continue, the agenda item moves to the next approver in the approval tree.
Skip an Approver
Administrators can skip an approver when the approver is unavailable or unable to complete their review.
- Open the agenda item that is currently under review.
- Locate the Approval Progress section.
- Find the approver you want to skip.
- Select the arrow next to the approver's name.
- Select Skip Approver.
- Enter a reason for the skip.
- Confirm the action.
The agenda item moves to the next approver in the approval tree.
Note: The reason for the skip is recorded in the approval history and can be viewed by users with access to the approval workflow.
Result
After all approvers review and approve an agenda item, the item moves to Confirmed status.
Confirmed agenda items appear in:
- The agenda builder
- The board packet
Meetings cannot be published until all required approvals are complete.
Troubleshooting
Why is my agenda item still in Draft status?
The agenda item has been saved but not submitted. Open the item and select Save and Submit to start the approval process.
Why did only one approver receive an email?
Approval emails are sent one approver at a time according to the order in the approval tree. The next approver is notified after the previous approver approves or selects Edit and Continue.
Can I change the approver order?
Yes. Open the approval tree and reorder approvers as needed.
Where can I edit or delete an approval tree?
Open the approval tree from the left navigation in the agenda builder. Edit and delete options appear in the upper-right corner of the approval tree.
Can I skip an approver?
Yes. Administrators can skip an approver from the Approval Progress section by selecting the arrow next to the approver's name. A reason for the skip is required and is recorded in the approval history.
Why can't I publish my meeting?
One or more agenda items still require approval. All required approvals must be complete before the meeting can be published.
