Record a Meeting in Boardable Video

Boardable Video allows users to record meetings, review past recordings, and send meeting recordings.

I. Introduction to Boardable Video Recordings

Meeting recording is supported for organizations on the Professional and Enterprise service levels.

Recordings are optional. They need to be manually started by a participant. If this is not done, no recording is made.

Meetings can be recorded and sent to attendees, viewed by attendees, published to the Public Meeting Page, and saved to the document center.

Any participant can start a recording.

When a video conference is being recorded, the text Recording is displayed at the top of all participants' conferencing screens.

Recordings can be stopped and started to capture different portions of the meeting. Each recording can have its own visibility, sharing, and storage settings.

Recordings are stored on the meeting page, within a Recordings and Summaries tab which displays after a recording is complete. Recordings can also be added to the Document Center, and emailed to attendees.

II. Record a Boardable Video Session

To record a Boardable Video Conferencing Session:

  1. Join a Boardable Video Conferencing Session

  2. Click Record from the meeting options menu at the bottom of the conferencing screen

    1. Start recording menu opens

  3. Click into the text box labeled Recording Name and type the preferred recording title

    1. By default, this field is set to the meeting's title

  4. Select visibility:

    1. Admins

      • Recording can be viewed only by organization admins, the meeting's creator / owner, and meeting collaborators

    2. All attendees

      • Recording can be viewed by all those invited to the meeting

  5. Select sharing options:

    1. Send email: All attendees receive email link to meeting recording when recording is complete

    2. Save a copy: Meeting recording is saved to Document Center when complete

      1. To store recording in Document Center home, continue to step 6

      2. To store recording in a Document Center folder:

        • Click Home

        • Document Center directory opens

        • Click desired folder and subfolder, if any

        • Click Choose folder

  6. Click Start Recording

    1. Recording starts

III. View & Download Meeting Recording

Depending on the selection made during step 5 of section II, a completed recording can be viewed via the following options:

View Recording from Meeting Page

Note: if recording is not available on the meeting page, this means that either the recorder did not enable Save a copy, or did not include the viewer when setting visibility permissions.

To view a recording from the meeting page as an admin:

  1. Navigate to the meeting page

  2. Click Summary & Recordings from the left menu

    1. The earliest recording is displayed at the left side of the page

    2. To view a later recording:

      1. Click the field labeled Rec 1... to drop down options

      2. Click the desired recording

        • Later recording is displayed

    3. Click ▶️ to play recording

    4. To change speed of playback:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Playback speed

        • Speed options drop down, ranging from .5 (half speed) to 2 (double speed)

      3. Click desired speed

    5. To pop out recording:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Picture in picture

        • Recording pops out at bottom right side of page; click and drag to move

      3. To download:

        • Click Download beneath recording panel

To view a recording via the meeting page as a member or observer:

  1. Navigate to the meeting page

    1. To learn how to do this, please see Related Articles

  2. Click Recordings from the left menu

    1. The earliest recording is displayed at the left side of the page

    2. To view a later recording:

      1. Click the field labeled Rec 1... to drop down options

      2. Click the desired recording

        • Later recording is displayed

    3. Click ▶️ to play recording

    4. To change speed of playback:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Playback speed

        • Speed options drop down, ranging from .5 (half speed) to 2 (double speed)

      3. Click desired speed

    5. To pop out recording:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Picture in picture

        • Recording pops out at bottom right side of page; click and drag to move

      3. To download:

        • Click Download beneath recording panel

View Recording from Document Center

Note: if recording is not available from the Document Center, this means that either the recorder did not enable Save a copy, or did not include the viewer when setting visibility permissions.

To view a recording from the Document Center:

  1. Click Documents from the leftmost menu

  2. Open the folder selected during step 5bii of Section II, if any

  3. Click the title selected during step 3 of section II

    1. Recording opens in Boardable Document Viewer

    2. Click ▶️ to play

    3. To change speed of playback:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Playback speed

        • Speed options drop down, ranging from .5 (half speed) to 2 (double speed)

      3. Click desired speed

    4. To pop out recording:

      1. Click More Actions () at the bottom right of the recording panel

      2. Click Picture in picture

        • Recording pops out at bottom right side of page; click and drag to move

      3. To download:

        • Click Download beneath recording panel

View Recording from Email Notification

Note: if no email notification is received, this means the recorder did not enable Email a copy.

When Email a copy is enabled at starting a recording, invitees receive an email notification whose subject line contains the video recording title.

To view the recording from this notification, open the email and click the link labeled Access the video recording.

View Recording from Public Meeting Page

To view a recording from a public meeting page:

  1. Open the public meeting page

  2. Click Recordings tab

    1. Recording selected by Public Meeting Page creator displays

    2. Click ▶️ to play recording

    3. To change playback speed:

      1. Click the gear icon (⚙) at the bottom right side of the video panel

        • Playback speed options dropdown, ranging from .5 (half speed) to 4x (quadruple speed)

      2. Click desired playback speed

    4. To pop out recording:

      1. click button showing arrow pointing out from square at bottom right corner of recording panel

        • Recording pops out

IV. Troubleshooting

If “Meeting not recorded” is displayed in the Recording field on the Summary & Recording tab of a meeting page, this means that no participant began a recording by completing the manual steps described in this help article.

Recordings are not automatic. If no participant clicks Record > Start recording during a meeting, no recording is created. This selection cannot be undone after the meeting.

This is true regardless of whether a transcript and/or summary are provided. Transcripts and summaries are created independently of video recordings. The first two of these items are created automatically if enabled in organization settings.

This means it’s possible for a meeting to have a transcript and summary, yet no video recording.

However, if “Recording processing” displays in this field, please contact Support for assistance.
