Add Zoom to Boardable Meeting

Learn how to create a meeting that includes the Zoom link in the Boardable invite, whether the Zoom account is integrated or not.

I. Introduction: Zoom and Boardable Meetings

There are two ways to add a Zoom meeting to Boardable.

The first option is to integrate the Zoom and Boardable accounts. This lets Boardable automatically create a Zoom link for fully published Boardable meetings.

This strategy is recommended for Zoom accounts which are not shared between multiple users.

The second option is to create a Zoom meeting manually, then copy and paste its link into the settings of the Boardable meeting.

This strategy is recommended for Zoom accounts which are shared between multiple users.

II. Add Zoom to Meeting via Integration

To have Boardable automatically create a Zoom meeting and provide its link:

  1. Begin by creating a meeting

    1. Click Meetings from the main menu panel, then click + Add Meeting

    2. Enter appropriate meeting information

  2. Under Video Options, click Zoom

    1. If a Zoom account is currently linked, it shows that Boardable will create the Zoom meeting once the meeting is published

      1. If desired, a password can be entered under Zoom Meeting Password β€” this sets the password in Zoom for the Zoom meeting (when created by Boardable) to whatever is typed here; leave blank if no password is needed

      2. If desired, additional Zoom settings can be specified for the meeting, click Advanced Zoom Settings

        1. A drop-down displays with additional Zoom options - these are settings for this particular meeting

        2. Click options as desired, then click Advanced Zoom Settings again to hide the display

    2. If a Zoom account is not yet integrated, the option to integrate is provided; click Connect Zoom

      1. Note: the red highlight is an indicator that the Zoom account is not properly integrated and requires action

      2. Please refer to Related Articles if more details on integrating are desired

  3. Continue entering meeting details and click Save

    1. This opens the meeting's meeting page

  4. When ready to fully publish, click Publish Meeting from the top of the meeting page

  5. Invitees selected in previous step receive an email that includes the Boardable meeting link as well as the direct Zoom meeting link (if the invitee does not want to log in to Boardable)

    1. The Boardable meeting link lets invitees view the agenda and other meeting materials; this cannot be removed from the invite email

  6. Verify

    1. Once published, use either of these methods to verify the Zoom meeting was properly created

      1. Check the detailed meeting information

        1. Click Edit Meeting Info icon in the top right corner

        2. Check to ensure that Zoom is selected under Video Options and a Meeting ID is displayed

      2. Check the Boardable meeting link

        1. Click Join Web Conference from the meeting page

        2. Meeting opens in desired video conferencing service

      3. If the Zoom Meeting ID is not displayed after fully publishing the meeting, please refer to Related Articles for troubleshooting Zoom Integration

III. Add Zoom to Meeting without Integration

To include a Zoom link in a Boardable meeting if not integrating a Zoom Account:

  1. Begin by creating a meeting in Zoom (or navigating to one already created)

    1. If the meeting has already been created, open Zoom and and navigate to the meeting, then click on the meeting name to open it; continue to step 2

  2. After saving the Zoom meeting (or opening it)

    1. Highlight the URL next to Invite Link and press Ctrl+C (Windows) or Cmd+C (Mac) on your keyboard to copy it to the clipboard

      1. Copy Invitation would not work in this situation - it contains more information than simply the link

  3. Return to Boardable and create a meeting (or edit a meeting already created)

    1. Click Meetings from the main menu panel, then click + Add Meeting

    2. Enter appropriate meeting information

  4. Under Web Conference, click Custom

    1. Click into the box under Remote URL so that the cursor is in the box

    2. Press Ctrl+V (Windows) or Cmd+V (MAC) on your keyboard to paste the invite link previously copied from Zoom

    3. Add any additional information that may be useful under Remote URL Access Info

  5. Continue entering meeting details and click Save

    1. This opens the meeting's meeting page

  6. Once the meeting is published and notifications sent, invitees receive an email that includes the Boardable meeting link as well as the direct Zoom meeting link (if the invitee does not want to log in to Boardable)

    1. The Zoom link is noted as video conference since Other Link was used

    2. The Boardable meeting link lets invitees view the agenda and other meeting materials; this cannot be removed from the invite email
