Learn how to integrate Zoom with your Boardable account so the Zoom link is available in the Boardable meeting invitation.

I. Why Integrate My Zoom Account?

The main reason for integrating a Zoom account is that it saves time! If a Zoom account is integrated within the Boardable account, Boardable can create Zoom meetings on your behalf. No more signing in to two different applications. No more creating the same meeting in two places. Boardable does it all for you!

Here are a few advantages to integrating a Zoom account in Boardable:

  • Allows Boardable to create a Zoom meeting on your behalf

    • This saves time so that you don't have to create the meeting in Boardable and also create the meeting in Zoom

  • The link to the Zoom meeting is included in the emailed meeting invitation

    • Invitees have a link to the Boardable Spotlight meeting page (where they can click Open Zoom to enjoy both Zoom and Boardable Spotlight)

    • Invitees have a direct link to the Zoom meeting if they do not want to log in to Boardable

  • Invitees can click Join Meeting from the meeting's page in Boardable, then click Open Zoom

    • This allows the invitee to enjoy the advantages of a Boardable Spotlight meeting while still viewing the Zoom meeting

II. Integrate Zoom from My Profile Settings

Integrating a Zoom account in Boardable will enable all Boardable meetings to effortlessly, and instantly, link to Zoom with a simple select and publish. Boardable will communicate with Zoom to create the Zoom meeting and supply the Zoom link within the meeting and invitation.

To integrate, follow these steps:

Note: if Zoom was previously integrated, some of these steps may be skipped.

  1. Click your name at the top of the Boardable page

    1. Click User settings from the drop-down menu

  2. Click Integrations

  3. Click Connect

    1. If this account has been integrated previously, the integration may skip to step 6

  4. A new window will open for Zoom

    1. If signed in to Zoom already, skip to step 5

    2. If not signed in, the Zoom sign in page will display

    3. Enter the necessary information for the Zoom account and click Sign In

  5. The Zoom authorization page will display

    1. Review the information for your own knowledge, if desired, by clicking the arrow (>) in each of the sections to view a drop-down

    2. Review the Terms and Privacy Policy

    3. Click Authorize

      1. This creates the link in Boardable to the Zoom account, and adds Boardable as an installed app in the Zoom account

      2. This allows Boardable to create Zoom meetings on your behalf

  6. Zoom integration is complete - feel free to close this window and return to Boardable

    1. If an error is received, or this page is not displayed, the administrator of the Zoom account may need to perform the authorization in Zoom.

  7. The User settings settings page will now display the integrated account under Zoom Integration

III. Integrate Zoom During Meeting Creation

Note: only fully published Zoom-integtrated meetings have Zoom links.

If Zoom has not already been integrated through My Profile settings, it can be done during the meeting creation process.

To integrate Zoom while creating a meeting, follow these steps:

  1. Begin by creating a meeting

    1. Click Meetings from the main menu panel, then click + Add Meeting

    2. Enter appropriate meeting information

  2. Under Video Options, click Zoom, then click Connect Zoom

    1. If this account has been integrated previously, the integration may skip to step 5

  3. A new window will open for Zoom

    1. If signed in to Zoom already, skip to step 4

    2. If not signed in, the Zoom sign in page will display

    3. Enter the necessary information for the Zoom account and click Sign In

  4. The Zoom authorization page will display

    1. Review the information for your own knowledge, if desired, by clicking the arrow (>) in each of the sections to view a drop-down

    2. Review the Terms and Privacy Policy

    3. Click Authorize

      1. This creates the link in Boardable to the Zoom account, and adds Boardable as an installed app in the Zoom account

      2. This allows Boardable to create Zoom meetings on your behalf

  5. Zoom integration is complete - close this window and return to editing the Boardable meeting

    1. If an error is received, or this page is not displayed, the administrator of the Zoom account may need to perform the authorization in Zoom.

  6. The meeting will now show that Zoom will be utilized for the meeting

    1. Note that the Zoom meeting is created when this meeting is fully published - Boardable schedules the meeting with Zoom once the meeting is published, until then, it is simply a placeholder

    2. Continue entering meeting details and click Continue

    3. Add desired participants and click Save; the meeting page opens

    4. To publish this meeting and finalize its Zoom component:

      1. Click Publish meeting

      2. Click Full meeting

      3. Set notifications as desired

      4. Click Publish
