Edit and Understand Recurring Meetings

Learn how to edit all dates. or a single date, within a recurring meeting series, and learn more about working with recurring meetings.

I. Introduction

The recurrence timeline, dates, and times for a complete series cannot be edited. Only the following details can be edited.

  • Title

  • Timezone

  • The date and time of individual meetings in a series

  • Video conferencing component

  • Location

  • Description

  • Meeting Owner

  • Invitees

Invitees can only be notified of edits after invites are sent.

Update notification emails can be sent to all invitees or to none. Notifying only some invitees of edits is not supported.

Update notification emails are how edits are applied to invitees' calendar events. Opting not to send update notifications prevents invitees from having up-to-date information in their calendar events. This includes even very important information; when the date, location, or video conferencing link are changed without sending update notifications, invitees continue to see the old date, location, or video conferencing link in their calendars.

II. Edit Meeting in Recurring Series

To edit a single meeting in a recurring series:

  1. Navigate to the meeting page for a meeting in the series

  2. Click Edit Meeting Info (the button showing a pencil on paper at the top right side of the page)

  3. Click This meeting

    1. Edit meeting menu opens

  4. Complete Edit Meeting menu; to learn how to do this, please see Related Articles

    1. On clicking Save, all invitees are notified of all changes

  5. Save the meeting

    1. To save without sending email update notifications, and without changing invitees' calendar events, click Save

    2. To save and send all invitees email update notifications which apply edits to invitees' calendar events, click Save and Notify Invitees

III. Edit Recurring Meeting Series

To edit the details listed above for all meetings in a series, or for multiple meetings in a series:

  1. Navigate to the meeting page for a meeting in the series

  2. Click Edit meeting info (the button showing a pencil on paper at the top right side of the page)

  3. Click Edit full series

    1. Edit Meeting Series Menu opens

  4. To edit all meetings in the series, keep the default date value; this selects the first meeting in the series and all which follow it

    1. To edit part of the series

      1. Click the Date drop down

        • Dates of all meetings in the series expand

      2. Click a date to select this date and all following it in the series

        • Only dates whose individual meetings have not been edited as described in Section I can be selected; for more on this, please see Notes above

  5. Change the desired details, from those listed above

    1. Date, Title, Video conferencing component, Location, and Date can all be edited on page one of the Edit Meeting Series menu

      1. To edit invitees, click Continue for page two

  6. Click Continue

  7. Save the meeting

    1. To save without sending email update notifications, and without changing invitees' calendar events, click Save

    2. To save and send all invitees email update notifications which apply edits to invitees' calendar events, click Save and Notify Invitees
