Learn how to use text chat in a meeting with Boardable Video

I. Introduction

Boardable Video Chat is a way to instantly communicate with all participants in the session.

During a conferencing session in which all participants use the same room, all chat messages are visible to all participants.

Chat messages are only visible via the interface while at least one participant is in the conferencing session. When all participants leave a conferencing session, the chat is cleared.

Any participant can download a chat before it is cleared.

Each chat message includes the following information:

  • Time

  • Chat text

  • Display name of sender (if other than self)

II. Open Chat

To open a Boardable Video chat:

  1. Join a Boardable Video Conferencing session

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

    2. Messages are listed from oldest to newest; scroll up to view earlier messages

III. Add Message to Chat

To add a message to chat:

  1. Join a Boardable Video Conferencing session

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

  3. Click into the text box labeled Type a message

  4. Type a message up to 256 characters long

  5. Click β†’ or press Return on the keyboard to send the message

Reactions let participants weigh in on chat messages via any of the following emojis:

  • Clap πŸ‘

  • Thumbs-up πŸ‘

  • Thumbs-down πŸ‘Ž

  • Heart ❀️

  • Laugh / cry πŸ˜‚

  • Exploding mind 🀯

  • Celebrate πŸŽ‰

  • Wave πŸ‘‹

  • Plus βž•

  • Fire πŸ”₯

Each participant can add multiple reactions to each message.

To add an emoji reaction to a chat message:

  1. Join a Boardable Video Conferencing session

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

    2. Messages are listed from oldest to newest; scroll up to view earlier messages

  3. Hover mouse over the desired message

    1. Reaction button is displayed on the right side of the message

  4. Click Reaction button (button showing a face with a + symbol)

    1. Reaction options drop down

  5. Click desired reaction

    1. Reaction added to bottom left corner of chat message selected during step 3, with the number of participants who have selected this reaction

IV. Download Chat

Any participant can download chat. This download includes all messages added after the downloader joined the video session. In order to do so, there must be messages in the chat.

Chat downloads contain the following details:

  • Time of each message

  • Text of each message

  • Display name of each message's sender

To download chat:

  1. Join a Boardable Video Conferencing session

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

    2. Messages are listed from oldest to newest; scroll up to view earlier messages

  3. Click Download Chat

    1. TXT file is downloaded to device

V. Chat from Breakout Rooms

After joining a breakout room from a video conferencing session, all existing chat messages from the main conferencing session remain visible in the Chat tab of the meeting information panel.

New messages can be sent either to all breakout rooms, or to only the sender's breakout room.

Both message types are listed in the same Chat tab. Those sent to only the sender's breakout room are labeled Sent to this room, and those sent to all breakout rooms are labeled Sent to all breakout rooms.

A participant can send a message to only their breakout room using these steps:

  1. Join a breakout room

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

  3. Click into the text box labeled Type a message

  4. Type a message up to 256 characters long

  5. Do not fill in the checkbox labeled Send to all rooms

  6. Click β†’ or press Return on the keyboard to send the message

    1. The message added during step 4 is sent only to other participants in the breakout room joined during step 1

Alternatively, a participant can send a message to all breakout rooms using these steps:

  1. Join a breakout room

  2. Click Chat from the meeting options menu at the bottom of the conference screen

    1. Meeting information panel opens on the right side of the conference screen, set to the Chat tab

  3. Click into the text box labeled Type a message

  4. Type a message up to 256 characters long

  5. Click Send to all rooms, filling the checkbox next to this

  6. Click β†’ or press Return on the keyboard to send the message

    1. The message added during step 4 is sent to all participants in the conferencing session, including to those in other breakout rooms

VI. Chat Notifications

The Boardable Video chat can provide pop-out notifications at the top right side of the call screen each time a new message is added to the video chat. These notifications can open the chat.

To open chat from a notification, click on the notification. The meeting information panel then expands on the left side of the conferencing screen, set to the Chat tab.

These notifications can be displayed at one of the following frequencies:

  • Only when chat is closed

    • Notifications are displayed when the viewer does not have the chat open in the information panel at the right side of the screen

  • Always

    • Notifications are displayed regardless of whether the chat is open

  • Never

    • Notifications are not displayed

Only when chat is closed is the default selection. To change this:

  1. Click the gear icon (βš™) at the top left side of the conferencing screen

  2. Click the User Preferences tab

  3. Click the field beneath Chat Notifications to drop down options

  4. Click desired frequency from these options
