I. View Meeting Documents in Meeting
Meeting documents are listed on the meeting page under the heading Documents. For easy access during a meeting, those files can be viewed through the navigation panel.
To view documents in a meeting:
Join the meeting
Click on the document icon to view the list of meeting documents
Click on a document to view it in the meeting window - it will open over the meeting view
Once viewed, the following options are available:
To close the document, click on the X in the top right
II. Upload Meeting Documents in Meeting
Only available to Organization Admins and Meeting Owner / Collaborators. The Documents tab provides the ability to upload files, from various sources, during the Boardable Spotlight meeting. Meeting documents are uploaded in real-time, allowing participants to instantly view the newly uploaded document during the meeting.
To upload files during a meeting:
Join the meeting
Click on the document icon to view the meeting documents
Click on one of the document options to choose a file to upload (please refer to Upload Document Options for more information on the upload sources)
III. Upload Document Options
There are five ways a document can be selected for upload:
User's computer
Document Center (within Boardable)
Google Drive
OneDrive
Dropbox
i. From User's Computer
Click arrow document icon
The file directory pop-up window will appear (Finder, File Explorer, Launcher, etc. depending on operating system)
Navigate to the appropriate directory
Double click the desired file or select multiple files and click the Open, Select or Choose button (depending on operating system)
To select multiple files that are sequential, click the first file, hold the shift button and then click the last file
To select multiple files out of order, click a file, hold down the Ctrl (PC) or cmd (Mac) button and continue to hold until all desired files are selected
ii. From the Document Center
Click the icon for Document Center
The Attach Document pop-up will appear
Navigate to the appropriate folder and/or file
Click in the box next to the desired file name or files to add a checkmark
Once a file or files are checked, scroll to the bottom and click the Attach button
iii. From Google Drive
Click the icon for Google Drive
The Google Drive pop-up window will appear
After signing in (if necessary), click Yes to allow Boardable access to the files (if asked - otherwise files cannot be selected)
If concerned, these permissions can be revoked after files have been added by doing the following:
Sign in to Google Drive from a Browser
Go to Settings (gear icon in the upper right corner)
Click Settings
Click Manage Apps
Click Options next to Boardable
Click Disconnect from Drive
A pop-up window will appear to confirm, click Disconnect
Click Done
The files added to Boardable will still be available in Boardable
Navigate to the appropriate folder and file(s)
Select the file or files to include
To select multiple files that are sequential, click the first file, hold the shift button and then click the last file
To select multiple files out of order, click a file, hold down the Ctrl (PC) or cmd (Mac) button and continue to hold until all desired files are selected
Once file(s) are selected, the Select button will be available
Click Select
iv. From OneDrive
Click the icon for OneDrive
The OneDrive pop-up window will appear
After signing in (if necessary), click Yes to allow Boardable access to the files (if asked - otherwise files cannot be selected)
If concerned, these permissions can be revoked after files have been added by doing the following:
Enter the following address in a browser: https://account.live.com/consent/manage
Click Edit under Boardable
Click Remove these permissions
The files added to Boardable will still be available in Boardable
Navigate to the appropriate folder and file(s)
Hover over the file and click the circle that appears in order to add a checkmark next to the file
Continue adding checkmarks until all files are selected
To select all files within a folder, click the circle that appears when hovered over the folder name (only available in list view); click the checkmark to deselect
Once file(s) are selected, the Open button will be available
Click Open
v. From Dropbox
Click the icon for Dropbox
The Dropbox pop-up window will appear
After signing in (if necessary), navigate to the appropriate folder and files
Click in the box next to the desired file name or files to add a checkmark
To select all files within a folder, click the folder to view the contents, then click in the box at the top next to the folder name
When viewing a folder, click the minus sign at the top next to the folder name to deselect any files already selected (or click to uncheck the checkmark if all were chosen)
Once a file is checked, the Choose button will be available
Click Choose to add the file(s) to the agenda
