How to Disable Document Downloads

Learn how to prevent document downloads

I. Introduction to Disabling Download

By default, all documents on the Boardable platform can be downloaded as PDFs, or with their original format.

This option can be disabled on a per-document basis.

Disabling this does not prevent users from printing the contents of their browsers, or from taking screenshots of it. It does prevent users from accessing a PDF of a file via Boardable, or the original file type via Boardable.

The following documents can have downloads disabled:

  • Documents stored in the Document Center

  • Documents attached to a meeting page

  • Documents attached to an agenda

  • Documents attached to a Group page

Documents attached to discussion comments, or to comments elsewhere on the platform, cannot have downloads disabled.

II. Disable Downloads When Adding Documents

Notes:

  • Downloads can only be disabled for new documents via the Upload a document menu.

  • Downloads cannot be disabled for new documents via drag and drop; to disable downloads for these files, please see Section III.

  • Downloads cannot be disabled for new agenda attachments; to disable downloads for these files, please see Section III.

Downloads can be disabled while uploading a document to the platform, or afterwards.

To disable downloads while uploading a document:

  1. Open Upload a document menu

  2. Click the checkbox labeled Disable Downloads in this menu to fill it in

  3. Set title, notes, and notifications as wanted

  4. Click Save

    1. File is uploaded; users with access to it cannot download it via the platform

III. Disable Downloads for Existing Documents

To disable downloads after a document is uploaded, please reference the relevant section below:

From the Document Center

Note: only organization admins and the person who uploaded a document can disable downloads for documents stored in the Document Center

  1. Navigate to the Document Center

  2. Click the More actions button next to a document tile

    1. Options drop down

  3. Click Edit

    1. Edit Document Info menu opens

  4. Click the checkbox next to Disable Downloads to fill this in

  5. Click Save

    1. Users with access to this document can no longer download it via the platform

From a Meeting Page

Note: the following users can disable downloads for documents stored on a meeting page:

  • Organization admins

  • Meeting creators

  • Meeting collaborators

  • The person who uploaded the document

  1. Navigate to the desired meeting page

  2. Click the Documents tab

    1. Documents attached to meeting page are listed

    2. To access documents in the Agenda, click the Agenda Documents folder

  3. Click the More actions button next to a document title

    1. Options drop down

  4. Click Edit

    1. Edit Document Info menu opens

  5. Click the checkbox next to Disable Downloads to fill this in

  6. Click Save

    1. Users with access to this document can no longer download it via the platform

From a Group Page

Note: the following users can disable downloads for documents stored on a meeting page:

  • Organization admins

  • Group admins

  • The person who uploaded the document

    1. Documents attached to group page are listed

  3. Click the More actions button next to a document title

    1. Options drop down

  4. Click Edit

    1. Edit Document Info menu opens

  5. Click the checkbox next to Disable Downloads to fill this in

  6. Click Save

    1. Users with access to this document can no longer download it via the platform
