I. Document Center Use Case
The Document Center (what comes up after clicking Documents on the leftmost menu) is best suited to host files which need to be easily accessible and re-usable on other parts of the interface.
These files can be viewed by admins and members. These files cannot be viewed by observers.
Files in this location can be cross-posted multiple other places on the platform. For example, a file in the Document Center can also be added to a Group page and Meeting page, after being uploaded to Boardable only once.
These files can be organized into custom folders.
Folders in the Document Center can have their visibility limited by groups. This option is supported only for complete folders, and not for individual files. To learn how to use this option, please see Related articles.
If this option is not used, by default, all folders and files in the Document Center are visible to all admins and members.
Notifications can be sent for new files uploaded to this location.
For Professional and Enterprise organizations, signatures can be requested for files in the Document Center.
II. Group Page Documents Use Case
The Documents tab of a group page (what comes up after clicking Groups on the leftmost menu, then the title of a Group) is best suited to host files which should only be accessible by a certain group, including its observers.
These files are visible only to organization admins and to users who are added to the page's group.
These files can be viewed by observers added to the group.
Group Page documents can be organized into custom folders.
Files in this location cannot be cross-posted elsewhere on the platform.
Notifications cannot be sent for new files uploaded to this location.
Signatures cannot be requested for files in this location.
III. Meeting Page Documents Use Case
The Documents section of a meeting page (at the bottom of the Materials tab of a meeting page) is best suited to host files which should only be accessible by meeting invitees, including observers, and which do not need to be included in a board packet.
These files are visible only to organization admins and to users who are invited to the page's meeting.
For fully published meetings, these files can be viewed by observers invited to the meeting.
Files in this location cannot be cross-posted elsewhere on the platform.
For Professional and Enterprise accounts, Meeting Page documents can be organized into custom folders.
Meeting Page Documents are not included in the meeting's board packet.
Notifications cannot be sent for new files uploaded to this location.
Signatures cannot be requested for files in this location.
IV. Agenda Attachments Use Case
Agenda attachments are best used to post files which should only be accessible by meeting invitees, including observers, and which do need to be included in a board packet.
These files are visible only to organization admins and to users who are invited to the agenda's meeting.
For fully published meetings, these files can be viewed by observers invited to the meeting.
Agenda attachments are automatically added to the Documents tab of the meeting page in an Agenda Documents folder. This folder cannot be edited, and subfolders cannot be created within it.
Files in this location cannot be cross-posted elsewhere on the platform.
Agenda attachments are included in the meeting's board packet.
Notifications cannot be sent for new files uploaded to this location.
Signatures cannot be requested for files in this location.
V. Comment Attachment Use Case
Attachments to a comment on a discussion, meeting, poll, or task are best suited to post files relevant only to the content they’re attached to, and not likely to be referenced for other purposes.
These files are visible only to organization admins and to users added to the content the comment is posted to, including observers.
Files in this location cannot be cross-posted elsewhere on the platform.
Signatures cannot be requested for files in this location.
Notifications can be sent for new files uploaded to this location.
