Learn how to share your organization’s complete meeting schedule with the public

I. Introduction

A subscription calendar feed can create calendar events for all of an organization’s meetings for anyone, especially those who are not invited to the meeting or even members of the organization.

This is done by generating a shareable URL, which recipients can subscribe to within their personal calendar program’s settings.

Calendar events created from a subscription feed include the following details:

  • Title

  • Date

  • Description text, if any

  • Location text, if any

The following details are not included in these events:

  • Video conferencing URL, if any

  • Invitee list

Most major calendar providers update events from subscription feeds infrequently—between once every few hours and once per day.

This means that new meetings, and edits to the details listed above for existing meetings, will be posted to subscribers’ calendars with a delay of up to one day.

Selective calendar feeds are not supported. A complete calendar feed including all meetings in the organization can be enabled or disabled. It cannot be customized to include some meetings, and not others.

To create calendar events in an invitee’s calendar for only some meetings, invite them to these specific meetings. Please see Related Articles for more on invitee calendar events.

II. How to Enable Calendar Feed

The subscription calendar feed can be enabled by organization admins.

To do so:

  1. Click Settings on the leftmost menu

  2. Click the toggle beneath Calendar subscription feed to set this to On

  3. Click Save

    1. A subscription calendar feed URL is displayed beneath the Calendar Subscription Feed toggle

  4. Click Copy URL

    1. Calendar feed URL is copied to clipboard

  5. Share the URL copied during step 5 with the desired recipients

    1. They can use section III of this article to subscribe to this URL from their personal calendar if needed

III. Create Calendar Events from Feed

For Google Calendar

  1. Copy the subscription feed URL provided by an admin

  2. Click the button next to Other Calendars on the left side of the screen

  3. Click From URL in the menu this drops down

  4. Paste the URL copied during step 1 in the URL of Calendar text box

  5. Click Add calendar

    1. The organization’s complete event schedule is added to the Google calendar

For Outlook Calendar

  1. Copy the subscription feed URL provided by an admin

  2. Open Outlook Calendar

  3. Click Add Calendar on the left side of the screen

  4. Click Subscribe from Web on the left side of the menu this opens

  5. Paste the URL copied during step 1 into the text box in the center of this menu

  6. Click Import

    1. The organization’s complete event schedule is added to the Outlook calendar

Please know that not all calendar providers support public feed subscriptions.
