I. Introduction

Sending meeting invites causes invitees to receive an email notification about the meeting.

This notification is sent to the invitee's login address, and not to any other address which may be listed in their user settings. It contains a file attachment which automatically creates an event in the invitee's personal calendar.

Invites can be sent to all invitees, or to none.

When a meeting's title, description, date, time, location, video conferencing component, or invite list is edited, updated invitations are optional.

These notifications contain file attachments which automatically update events in the calendars of existing invitees.

Opting not to send these prevents invitees from seeing the most up-to-date information in their calendar events.

Updated invitations can be sent to all invitees, or to none. Sending to only some invitees is not supported.

When a meeting is edited to include new invitees, existing invitees must be notified of the change in order to send an invite to the newly added person. Sending new meeting invites without notifying existing invitees is not supported.

II. Read Invitation Status

A meeting can have one of three invitation statuses:

  • Invitations sent

  • Invitations not sent

  • Meeting details changed, invitations not resent

III. Send Meeting Invitations

To send invitations:

  1. Navigate to the meeting page

  2. Click Invitees

  3. Click Send Invitations

IV. Send Updated Meeting Invitations

To send meeting update notifications after editing a meeting:

  1. Navigate to the meeting page

  2. Click Invitees

  3. Click Send Updated Invitations

When an invitee is added to a meeting by adding them to the group, the Send updated invitations button does not appear on the meeting page. To provide the new group member with an email invite (and to send all existing invitees an update notification) in this case:

  1. Navigate to the meeting page

  2. Click More actions (︙)

  3. Click Re-send meeting invite

  4. Click Send

    When you update a meeting or add new members after the initial invite has already been sent out, you’ll be prompted to choose how you'd like to notify attendees.

    You will see the following options:

    • Notify everyone
      This option sends an updated invitation email to all invitees, regardless of whether their details have changed.

    • Notify only new/removed invitees
      This choice limits emails only to those who have been newly added or removed. It helps reduce email volume, but note that the attendee list may be outdated for those who are not re-notified.

    Important:
    Even if you choose to notify only new or removed invitees, all invitees will still receive automatic updates if the date, time, or location of the meeting changes.
