How to Publish Meeting Materials

Learn how to release agenda, board packet, and meeting documents to invited members and observers

I. Introduction

Meeting materials includes the following content:

  • Agenda

  • Agenda attachments

  • Meeting documents

  • Board packet (for Professional and Enterprise organizations only)

Meeting materials are available immediately to organization admins, meeting creators / meeting owners, and meeting collaborators, even without publication.

Publishing meeting materials makes them accessible to invited members and observers who are not meeting collaborators.

Publishing with notifications sends an email notification to invited admins, members, and observers; guests cannot receive this email.

Once published, meeting materials cannot be unpublished.

Materials can be published all together, or not at all. Publishing only some materials is not supported.

II. How to Publish Meeting Materials

Meeting materials can be published by organization admins, meeting creators / owners, and meeting collaborators.

To do so:

  1. Navigate to the meeting page

  2. Click Materials

  3. Click Publish

    1. Publish materials menu pops out

  4. Choose whether or not to notify invitees of the publication

    1. By default, this is enabled

    2. Click this option to empty its checkbox and disable it

  5. Click Publish
