I. Introduction
There are three types of roles which can be assigned to a Boardable account seatholder: account roles, group roles, and meeting roles.
Meeting roles determine the permissions a person has to interact with a certain meeting: to create, view, edit, or participate.
There are five meeting roles:
- Creator / Owner
- Collaborator / Admin
- Attendee
- Guest
A person’s account or group role can impact their meeting role. Organization admins are meeting collaborators / admins by default for all meetings they’re invited to. For meetings created from a group page, the group’s owner and admin are meeting collaborators / admins by default.
Members and observers who are not group admins or group owners are meeting attendees by default. They cannot be granted a blanket meeting collaborator role for all meetings they’re invited to. They need to be promoted from attendee to collaborator on a per-meeting basis.
Meeting role changes can be made to one meeting at a time. It’s not possible to promote an attendee to collaborator for a complete recurring series at a time, or to demote a collaborator to attendee for a complete recurring series.
II. Meeting Creator / Owner
By default, the meeting creator / owner is the creator of the meeting. This role can be transferred to other attendees. Only one person can have this role per meeting.
The meeting creator / owner has the following permissions:
- Edit meeting details, including date, time, description, location, and video-conferencing component
- Edit invitee list
- Send invitations
- Send meeting messages
- Change the RSVPs of invitees
- Build and edit the agenda
- Upload meeting documents
- Publish the agenda and documents
- Start and edit Minutes
- Enable, disable, or customize a public page
- Create and edit meeting tasks and polls
- Promote attendees to collaborators
- Transfer the creator / owner role to another invitee
- Start a Boardable Video Conferencing session
- Participate in a Boardable Video Conferencing session
- Delete the meeting
The name of the person with this role is included in email invitations sent for the meeting.
For meetings which use the Zoom integration, the account of the person with this role is used.
III. Meeting Collaborator / Admin
Organization admins are meeting collaborators / admins. For meetings created from a group’s page, this group’s admin and owner are also meeting collaborators / admins. These users cannot be demoted from collaborator / admin to attendee.
Members and observers who are not group admins or group owners can be promoted from attendee to collaborator.
There is no limit to the number of invitees which can have this role per meeting.
This meeting role includes the following permissions:
- Edit meeting details, including date, time, description, location, and video-conferencing component
- Edit invitee list
- Send invitations
- Send meeting messages
- Change the RSVPs of invitees
- Build and edit the agenda
- Upload meeting documents
- Publish the agenda and documents
- Start and edit Minutes
- Enable, disable, or customize a public page
- Create and edit meeting tasks and polls
- Promote attendees to collaborators
- Transfer the creator / owner role from its present holder to another invitee
- Start a Boardable Video Conferencing session
- Participate in a Boardable Video Conferencing session
- Delete the meeting
Meeting admin names are not included in the message text of meeting invitation emails.
IV. Meeting Attendee
Meeting attendees are invited members and observers who are not group admins or group owners. They can be promoted from attendee to collaborator, or from attendee to owner.
There is no limit to the number of attendees which can be included on a meeting’s invite list.
This meeting role includes the following permissions:
- View meeting details, including date, time, description, location, and video-conferencing component
- View invitee list
- Submit and change their own RSVP
- View the agenda and meeting documents, once published
- Participate in a Boardable Video conferencing session
- View the Minutes, once published
- When the Minutes are published, this document replaces the agenda in the attendee’s view of the meeting page
- When the Minutes are published, this document replaces the agenda in the attendee’s view of the meeting page
V. Guest
Guests are people who are not a part of a Boardable organization, and are invited to specific meetings. This meeting role cannot be granted to anyone with the account role of admin, member, or observer. Guests cannot be promoted to collaborator, or to meeting owner.
This meeting role includes the following permissions:
- View meeting details, including date, time, description, location, and video-conferencing component
- View invitee list from their calendar event, or from a Boardable Video Conferencing session
- Submit their own RSVP
- View the agenda and meeting documents from a Boardable Video Conferencing session
- Participate in a Boardable Video conferencing session
Guests cannot access the Boardable platform, except through the Boardable Video Conferencing screen.
