Muting Attendees, Shortcuts, and Useful Tips in Spotlight

Learn about keyboard shortcuts, muting available, turning off webcams, using AirPods, and voice focus in Boardable Spotlight meetings.

I. Muting Attendees / Turning Off Webcams

Only a Meeting Administrator or Collaborator can mute attendees and / or turn off webcams.

As an Administrator or Collaborator of a meeting, the ability to mute one or all attendees can be a useful tool to help minimize distractions. Follow these steps to mute or turn off webcams of all or one attendee (the ability to unmute or turn on the camera is not available):

  1. While in a Spotlight meeting, click on Attendees (tab in the Navigation Panel)

    1. All Attendees in the meeting will be displayed in the Navigation Panel

  2. To take action on all attendees

    1. Click Mute All to mute all attendees; all microphone icons will turn red with a slash through it

    2. Click Turn off all webcams to turn off everyone's cameras; all camera icons will turn red with a slash through it

  3. To take action on individual attendees

    1. The microphone or camera icons will not display if the attendee is not muted or their camera is on

      1. To mute or turn off webcam, hover the mouse over the attendee and a grey microphone (or camera) will appear

      2. Click on the microphone icon to mute the individual

      3. Click on the camera icon to turn off the individual's camera

    2. The microphone and camera icons will display as red with a slash through it if the individual is muted or their webcam off

II. Keyboard Shortcuts

Spotlight meeting attendees can use the following shortcuts while in a meeting.

  • Camera: turn camera on or off

    • Mac: ⌘ (command) + Shift + v

    • Windows: CTRL + alt + c

  • Microphone: turn microphone on or off

    • Mac: ⌘ (command) + Shift + m

    • Windows: CTRL + alt + m

III. Voice Focus

Voice Focus can be used to reduce background noise when in a meeting.

To enable Voice Focus:

  1. Click on the arrow next to the microphone icon to see options

  2. Ensure it says Voice Focus enabled with a checkmark

    1. If Voice Focus is not enabled, it will say Enable Voice Focus without a checkmark - click those words and voice focus will be enabled

IV. Using AirPods in Spotlight

AirPods can be used in a Spotlight meeting by doing the following:

  1. Click on the arrow next to the microphone icon to see options

  2. Click AirPods from the pop-up menu

    1. The AirPods option will only appear if AirPods are active

    2. If more than one AirPods option is displayed, choose either - both will work

Note: AirPods work best if Voice Focus is not enabled.

To disable Voice Focus:

  1. Click the arrow next to the microphone icon to see options

  2. If enabled, click on Voice Focus enabled

    1. This will uncheck the option and the words will change to Enable Voice Focus (without a checkmark)
