Agenda Troubleshooting

Learn how an admin can troubleshoot common difficulties with Agenda PDFs

I. Agenda PDF Doesn't Show Edits

If the agenda is edited, and the PDF does not show the expected updates, re-saving the agenda may help it to update.

To do so:

  1. Navigate to the desired Agenda

  2. Click an item in the agenda so that a menu opens on the right side of the page

  3. Without changing anything in this menu, click Save

  4. Click Agenda Options

  5. Click View as PDF

If the problem persists after trying this, the browser may have cached an outdated view. To fix this, and view the most recent version of the PDF, clear the browser's cache. To do so for Chrome:

  1. On your computer, open Chrome.

  2. At the top right, click More (⋮)

  3. Click Clear browsing data.

  4. Select a time range; we recommend All Time

  5. Click Clear data.

  6. Revisit the desired Agenda and click Agenda Options

  7. Click View as PDF

    1. New copy of PDF opens displaying desired edits

II. Agenda Missing from Meeting Prep Page

When an already-built agenda is missing from a meeting page in the view of a meeting admin, meeting owner / creator, or meeting collaborator, the cause is likely that the meeting creator accidentally drafted the same meeting twice.

As such, if a meeting page shows a Start Agenda button where existing agenda items are expected, please take the steps below to find the correct meeting page:

  1. Click Meetings on the leftmost menu, opening the Upcoming Meeting list

  2. Look for a meeting with the same date and title as the one previously open; click this list entry to open the duplicate meeting page

  3. Click Materials to view its agenda

III. Agenda Missing from Member Meeting Page

Future meeting

When an agenda for a future meeting can be edited by admins and collaborators, yet can't be viewed by members or observers, there are two possible causes.

One is that the meeting's materials are not yet published.

Only an admin, meeting creator / owner, or collaborator can fix this.

If the meeting’s materials are published, this means that unsupported text is added to the meeting’s Video URL setting. video url setting

This field is designed only to collect a URL. When additional text (such as a meeting ID, passcode, or invitation text) is added to this field, this obscures the member view of the meeting page and prevents access to the agenda and documents. 

Only an admin, meeting owner / creator, or meeting collaborator can fix this. To do so: 

  1. Navigate to the meeting page
  2. Click the button showing a pencil at the top right side of the page
  3. Click 3 Location and Video
  4. Click into the text box labeled Video Link
  5. Delete all text in this field other than the external video conferencing URL
  6. Click Save

Past meeting

When an agenda for a past meeting is accessible by admins and collaborators, and not for members and observers, there are two possible causes.

One is that the Minutes are published. When Minutes are published, this document replaces the agenda in the member / observer view of the meeting page. 

To provide past meeting attendees with an agenda, promote these attendees to collaborator or download the agenda PDF and upload it to the document center.

If the Minutes are not published, this means that unsupported text is added to the meeting’s Video URL setting. video url setting

This field is designed only to collect a URL. When additional text (such as a meeting ID, passcode, or invitation text) is added to this field, this obscures the member view of the meeting page and prevents access to the agenda and documents. 

Only an admin, meeting owner / creator, or meeting collaborator can fix this. To do so: 

  1. Navigate to the meeting page
  2. Click the button showing a pencil at the top right side of the page
  3. Click 3 Location and Video
  4. Click into the text box labeled Video Link
  5. Delete all text in this field other than the external video conferencing URL
  6. Click Save

IV. Agenda not Editable

When someone cannot edit an agenda nor attach documents to it, this is because their meeting role is Attendee. Agenda editing permissions are not included in this role’s access.

To let this person create or make changes to the agenda, an admin or Meeting Creator / Owner must promote them to Meeting Collaborator or Meeting Owner.
