Agenda — Build and Edit

Learn how to build an agenda from scratch or from a template, edit items, and move items around.

I. Overview of the Agenda

A meeting agenda may only be created and edited by an Admin, Meeting Creator or Meeting Collaborators.

Admins, Meeting Creators, and Meeting Collaborators can view and edit the agenda regardless of the meeting's publication state.

Only the agendas for fully published meetings are visible to Meeting Members and Meeting Observers. Meeting Members and Meeting Observers cannot view the agendas of meetings whose save-the-date alone is published.

Many aspects of the agenda are completely customizable. However, margin width cannot be edited.

There are two ways to build a meeting agenda:

  1. Build from scratch

    1. Start an agenda with no pre-populated text

  2. Use an agenda template

    1. Start an agenda from a pre-written template

  3. Start from previous meeting

    1. Start an agenda from the agenda for the previous meeting in the same series

II. Build an Agenda From Scratch

To build a meeting agenda from scratch:

  1. Navigate to the meeting by clicking Meetings in the left main navigation menu, and selecting the desired meeting from the Meetings Page

  2. Click Agenda in the top navigation menu

  3. Click Start from scratch

  4. The cursor will be in a box marked Agenda item text. Begin typing the first agenda item, and when finished either click Save next to the item entered, or click the Return button on the keyboard to move to the next line

    1. The list number, letter, or Roman numeral will be added automatically based on the default list style selected in the Organization Settings, and do not need to be added manually (Note: only Administrators may change the Organization Settings)

    2. The agenda is saved automatically as it is created

    3. Continue in this manner until all items are entered

  5. Each agenda item may have two sub-items, click + sub-item to continue adding

  6. To edit an agenda item that has been entered, or to add detail to an item, click on the item to bring it into the right-hand panel where the following options will be displayed:

    1. Edit the text of the item itself in the Text box

    2. Add or edit the Description to provide details about the item

    3. Click into the Duration box and select a timeframe from the drop-down to set a duration for the agenda item

    4. Click into the People Responsible field to select from a list of users

    5. Click Attach a Document to add a document or file related to the item (please refer to Related Articles for additional information)

    6. When finished editing or adding to the item click Save (Note: if Save is not clicked none of the changes will occur, if the section is no longer needed click Delete)

  7. Additional options for the agenda may be found in the Agenda Options menu in the upper right:

    1. Save as template to add the agenda to the templates available for future use

    2. View as PDF to open the agenda as a PDF in a new window

    3. View in browser to open the agenda in a new browser window

    4. Agenda settings, which opens the Agenda settings window where a new list style may be chosen, from numbered or alphabetic

      1. List headings cannot be removed altogether

    5. Clear agenda will clear the entire agenda and return to the Start with a template or Start from scratch options

III. Build an Agenda From Template

Boardable provides a few basic agenda templates to begin, and as new agendas are created within an organization and saved as templates the customized templates available to choose from will grow.

To build a meeting agenda from a template:

  1. Navigate to the meeting by clicking Meetings in the left main navigation menu, and selecting the desired meeting from the Meetings Page

  2. Click Agenda in the top navigation menu

  3. Click Start with a template

  4. Click on a template name in the list on the left to view a preview of that template on the right, and once the desired template has been identified click Use Template

    1. The selected agenda opens for editing

  5. Click on an agenda item to bring it into the right-hand panel where the following options will be displayed:

    1. Save as template to add the agenda to the templates available for future use

    2. View as PDF to open the agenda as a PDF in a new window

    3. View in browser to open the agenda in a new browser window

    4. Agenda settings, which opens the Agenda settings window where a new list style may be chosen

      1. List headings cannot be removed altogether

    5. Clear agenda will clear the entire agenda and return to the Start with a template or Start from scratch options

  6. Each agenda item may have two sub-items, click + sub-item to continue adding

IV. Build an Agenda From Previous Meeting

Note: building agenda from previous meeting is supported only for meetings in recurring series

To build a meeting agenda from the agenda on the most recent meeting in the same recurring series:

  1. Navigate to the meeting by clicking Meetings in the left main navigation menu, and selecting the desired meeting from the Meetings Page

  2. Click Agenda in the top navigation menu

  3. Click Start with last meeting's agenda

V. Edit or Delete Agenda Items

Whether the agenda is created from scratch or a template, the process to update agenda items is the same.

  1. From the meeting page click Agenda in the top navigation menu

  2. To change the list type, click Agenda Options to the top right of the agenda, and select Agenda Settings from the drop-down

    1. Select the list style desired

    2. Click Save

      1. List headings cannot be removed altogether

  3. To edit individual agenda items, click on an agenda item to bring it into the right-hand panel where the following options will be displayed:

    1. Edit the text of the item itself in the Text box

    2. Add or edit the Description to provide details about the item

      1. Formatting options are: bold, italics, bulleted lists, numbered lists, and hyperlinks

        • further font customization is not supported

    3. Click into the Duration box and select a timeframe from the drop-down to set a duration for the agenda item

    4. Click into the People Responsible field to select from a list of users

    5. Click Attach a Document to add a document or file related to the item (please refer to Related Articles for additional information)

    6. When finished editing or adding to the item click Save (Note: if Save is not clicked none of the changes will occur, if the section is no longer needed click Delete)

  4. To move an agenda item, click the item and while holding the mouse button down drag the item to the desired location and drop it by releasing (Note: the numbering will automatically adjust and change will be saved)

  5. To delete an agenda item, click the item to bring it into the right-hand panel and click Delete in the bottom left corner of the edit panel

    1. Confirm deletion by clicking Ok in the Are you sure? window, or Cancel to back out

    2. Note: any sub-items associated with the item will also be deleted

VI. Clear an Agenda and Start Over

To completely delete the current agenda and start over:

  1. From the meeting page click Agenda in the top navigation menu

  2. Click Agenda Options in the upper right to open a drop-down menu, and select Clear Agenda

    1. From the Are you sure? confirmation window click Ok to confirm and clear the agenda, or Cancel to back out

    2. If Ok is selected the agenda will clear completely and the screen will display the initial Start with a template or Start from scratch options
