Document Center: Organize, Star, & Sort Files and Folders
Account Administrators can Star and Sort documents in the Document Center for quick access and a more organized file management system.

I. Introduction to Document Center Organization

The Document Center supports five great options to keep documents organized and easily findable:

  • Drag and drop

  • Sort by name

  • Sort by date

  • Star

II. Sort Files by Name or Date

Note: file order reverts to Default between Document Center visits.

To sort files alphabetically, or by date of upload:

  1. Click Sort by at the top of the document list

    1. The following options drop down:

      1. Default

      2. Name (A-Z)

      3. Name (Z-A)

      4. Date (oldest to newest)

      5. Date (newest to oldest)

  2. Click the preferred sorting option

    1. Display order of files and folders updates to match the option selected

III. Drag and Drop

Note: display order created during drag and drop becomes the default for all users; this remains constant between Document Center visits.

To drag a folder or document to a new location in the list:

  1. Hover the mouse over the name of the document or folder to be moved

    1. The cursor becomes a plus sign

  2. Click and drag the cursor while holding down the mouse button until the desired location is reached

  3. Release the mouse button

IV. Folders: Edit, Download, Move, or Delete

Note: Members can edit or delete only folders they created; administrators can edit or delete all folders, including those created by other users.

To edit the description, name, or visibility of a folder:

  1. Navigate to the Document Center

  2. Click on the three dots next to the folder name

    1. Options drop down

  3. Click Edit

  4. The Edit Folder menu pops out

  5. To edit the folder name:

    1. Click into the text box labeled Name

    2. Delete or type desired changes

    3. Click Save

  6. To edit the description:

    1. Click into the text box labeled Description

    2. Delete or type desired changes

      1. The following formatting options are supported:

        1. Bold

        2. Italics

        3. Bullet points

        4. Numbered listing

        5. Links

    3. Click Save

  7. To limit visibility:

    1. Click Limited beneath Visibility heading

      1. Bubble next to Limited fills in

      2. Group names drop down

      3. Click a group name in this list to grant it access to the folder

        1. Checkbox next to group name fills in

      4. Click group name again to prevent access

        1. Checkbox next to group name empties

    2. Click Save

  8. To make visibility unlimited:

  9. Click Everyone

    1. Bubble next to Everyone fills in

  10. Click Save

To download a folder:

  1. Navigate to the Document Center

  2. Click on the three dots next to the folder name

    1. Options drop down

  3. Click Download

    1. Complete contents of the folder, including single files, subfolders, and their complete contents are downloaded to the device as a ZIP file

To move a folder:

  1. Navigate to the Document Center

  2. Click on the three dots next to the folder name

  3. Click Move

  4. The Move Folder menu pops out

    1. To nest folder within another folder:

      1. Click the title of the desired parent folder

        1. Text at bottom of the Move Folder menu (shown in image below with a red arrow) displays selected location

      2. Click Move

    2. To move a nested folder out of its parent folder and into the Document Center home:

      1. Click Home

        1. Text at bottom of the Move Folder menu (shown in image below with a red box) displays selected location

      2. Click Move

V. Files: Download, Open, Move, and Delete

Note: administrators can move and delete all files; members can move or delete only those files they have uploaded.

To edit the name or description of a document:

  1. Navigate to the Document Center

  2. Click the three dots next to a file name

    1. Options drop down

  3. Click Edit

    1. The Document Info menu pops out

  4. To edit the name:

    1. Click into the text box labeled Name

    2. Type or delete desired changes

    3. Click Save

  5. To edit the description:

    1. Click into the text box labeled Description

    2. Type or delete desired changes

      1. The following text formatting options are supported:

        1. Bold

        2. Italics

        3. Bullet points

        4. Numbered listing

        5. Links

    3. Click Save

To download a file in its original format, without annotations, from the Document Center:

  1. Click the three dots next to a file name

  2. Click Download

    1. Depending on browser settings, PDF files may download or open in a new tab

    2. All other filetypes download

To move a document:

  1. Navigate to the Document Center

  2. Click the three dots next to a file name

    1. Options drop down

  3. Click Move

    1. The Move Document menu pops out

  4. To move a document to a folder:

    1. Click the title of the desired folder

      1. Text at bottom of the Move Document menu (shown in image below with a red arrow) displays selected location

    2. Click Move

  5. To move a document to the Document Center home:

    1. Click Home

      1. Text at bottom of the Move Document menu (shown in image below with a red arrow) displays selected location

To delete a file:

  1. Navigate to the Document Center

  2. Click the three dots next to a file name

    1. Options drop down

  3. Click Delete

    1. Confirmation prompt pops out

  4. Click OK

VI. Files: Star

Note: only individual documents can be starred; folders cannot be starred.

To mark files as important using stars:

  1. Click on the empty star next to a file name

    1. Star shape is filled with yellow

To quickly view all starred documents:

  1. Click Starred at top of Document Center

    1. Text at top of Document Center (shown in image below with red arrow) shows files selected

    2. Document Center lists only starred documents, instead of all documents and folders
