I. Introduction to Calendar Event Notifications
Calendar event notifications are sent to meeting invitees at their login addresses when a meeting is published.
These emails notifications contain an .ics file which automatically creates—or edits—a calendar event for the desired meeting or meeting series.
Calendar events can only be created for meetings. No other type of calendar event can be made using the Boardable platform.
II. Meeting Invite Notifications
Note: Meeting invite email notifications are sent only to login addresses, and not to any other address added within user settings
Meeting invite email notifications contain the following information:
Meeting title; prefixed by "(Recurring)" for installments to recurring series
Date and time
List of all invitees
For recurring series, link to Boardable series page
Link to video conferencing component, if any
For meetings with video conferencing, even those that do not use Boardable Video, link to a Boardable Video page; this lets guests access the agenda and other meeting information
For Boardable Video meetings, dial-in information
.Ics file which automatically creates an event in the calendar
III. Meeting Update Notifications
Note: Meeting update email notifications are sent only to login addresses, and not to any other address added within user settings
Update notifications are sent when a meeting is edited, and contain the same information as do Invite notifications.
If the edit to the meeting changes one of these details, the update notification reflects this.
The .ics file contained by update notifications automatically applies these edits to the matching meeting's calendar event.
IV. Meeting Cancellation Notifications
Note: Meeting cancellation email notifications are sent only to login addresses, and not to any other address added within user settings
Meeting invitees also receive a calendar event cancellation notice by email when a meeting is cancelled with notifications enabled. (To learn how to cancel a meeting with notifications enabled, please refer to Related Articles.
These notifications contain the same information as an invite notification, alongside a flag reading This event has been cancelled.
The .ics file contained by cancellation notifications removes the matching meeting from the calendars of recipients.
V. RSVPs
Recipients can RSVP to meetings from invite notifications. These emails provide two RSVP fields: one managed by the email provider, and one managed by Boardable.
For users who RSVP via the option managed by Boardable, the meeting page is updated to indicate their RSVP.
